Acceptable use
Rules for safe, authorised use of the workspace.
1 Use your own account
Use only your assigned account and granted permissions. Do not share sign-in credentials, impersonate another staff member or evade access, approval or device limits. Tell an administrator promptly if an account or device may be compromised.
2 Keep records accurate
Enter truthful client, project and financial information. Record an approval, signature, payment or delivery only when it occurred. Do not conceal a change, fabricate consent or bypass an audit trail. Review recipients and document versions before sharing.
3 Respect people and third-party rights
Upload only material you are entitled to use and process. Do not upload malware, unlawful material or private records unrelated to an authorised business purpose. Do not use the app to harass people, send unsolicited bulk messages or collect unnecessary identity, payment or sensitive information.
4 Protect customer links and integrations
A customer document link may allow the recipient to read the document without a staff login. Share it only with the intended recipients and use available revocation controls when needed. Keep provider credentials private and use only company-approved integrations.
5 Report concerns
Report suspected misuse, a mistaken recipient or a data-security issue promptly to your administrator. The operating firm can restrict access under its policies and agreements. Necessary security measures do not remove legal obligations or the rights of affected people.
